Our Booking Terms & Conditions
1 - Booking Terms and Conditions: This contract reflects the verbal agreement. It shall include any terms agreed prior to its issue. It shall be deemed un-accepted unless the booking form and retainer reservation fee is received by Ainsey’s Entertainment within 7 working days of the issuing date. No alterations may be made to this contract by hirer / contracted DJ / crisis cover entertainers without prior approval consent from Ainsey’s Entertainment. Please Note: by completing and sending this booking form, you agree that you are making a confirmed booking and entering into a contract which carries your acceptance, in full, of the booking terms.
2 - Discounted fee: A discounted fee if applicable will have been previously agreed.
3 - Reservation fee: You agree to a non refundable reservation fee which is payable in advance.
3.1 - Overtime Charge: Any extension to the agreed timescale will be charged at a price agreed upon with a member of staff per hour in addition to the booking fee per hour (or part hour), thereafter, which shall be payable in advance before commencement of extended entertainment.
4 - Cancellation: The Client shall have the right to cancel the booking by serving upon Ainsey’s Entertainment not less than 28 clear days’ notice in writing. In the event of the client wishing to cancel this contract agreement for any reason other than Act of God or National Disaster, any advance reservation payment will be forfeited.
4.1 - Cancellation Fee 1: A cancellation fee of not less than 50% of the agreed fee will be due if the cancellation is within 30 days of the performance.
4.2 - Cancellation Fee 2: A cancellation fee of not less than 100% of the agreed fee will be due if the cancellation is within 14 days of the performance.
5 - Emergency Cancellation: In the unlikely event that Ainsey’s Entertainment is unable to attend personally, we shall endeavour to provide a suitable substitute offering a similar service at no additional charge to the client. This does not apply in circumstances detailed below.
5.1 - Force Majeure – Ainsey’s Entertainment will not be liable for failing to attend a booking, where the reason for non-attendance or late arrival is caused by act of god, adverse weather conditions (including Snow & Flooding), road closure, road traffic accident, vehicle breakdown, fuel shortages, acts of terrorism, industrial action, or other unavoidable circumstances deemed beyond our control.
6 - Setup and Take Down Times: The hirer will appreciate that suitable time for venue access, safe installation and dismantling and safe removal of equipment from venue is required in addition to performance time. Therefore, the hirer and venue will allow suitable time for the installation and dismantling and removal of disco equipment (up to 60 minutes DJ & 60 minutes photo booth each side of the booking times unless otherwise stated). Please note: Ainsey’s Entertainment shall not be liable for any additional charges levied to the client by the venue in relation to equipment assembly / removal timescales.
6.1 - Overtime: Performance time and ‘over time’ is restricted to a maximum of eight hours in a 24 hour period. Unless already agreed at the time of booking, the hirer agrees to make provision for suitable overnight accommodation to the satisfaction of the performer if time is exceeded.
6.2 - Setting up and taking down: We can only setup if the performance area/function room is unoccupied and free from guests. Our equipment must be setup before guests arrive and if guests are already there we will not be able to setup. Stage, Dancefloor and performance areas, must be free from obstacles and fully lit whilst setup and take down are in progress. Access to loading area, doors, stairways must be clear when loading and unloading of equipment.
7 - Sound Limiter: The hirer must inform Ainsey’s Entertainment prior to performance date if the venue has a sound limiter installed . Please note: Ainsey’s Entertainment reserve the right to decline entertainment at venues with sound limiter installed.
8 - Safe Venue Power Supply: The hirer ensures that they have verified venue power sources are electrically safe and conform to the HSE EAW Act 1989, and amendments thereafter. Copies of venue Electrical Installation Safety Certificate (Periodic Inspection Report to NIC EIC standards) must be made available upon request by the venue under LAW.
9 - Public Liability Insurance: Ainsey’s Entertainment agrees to provide proof of Public Liability Insurance and certifications as required by the venue.
10 - Licenses: The hirer will notify Ainsey’s Entertainment of that all appropriate licenses as required by law are in force at the time of performance(s).
11 - Safety & Security: The hirer agrees to provide adequate supervision of guests and will ensure that venue management adequately supervises customers and or staff on site premises. Please note: Where the function may include guests under the age of 16 years, the client, (or parent) is responsible for the behaviour and safety of any minors attending the venue. The client will provide and maintain adequate adult supervision at all times. Ainsey’s Entertainment will not be liable for the supervision of minors.
11.1 - Unwarranted Abuse or threatening behaviour from hirer’s guests or venue management or venue staff will not be tolerated and will result in the performance being terminated with no loss to the DJ or Ainsey’s Entertainment.
11.2 - Damage Compensation: The hirer agrees that compensation for any loss of or damage to performing DJ’s equipment, vehicle(s) or personal belongings caused by hirer’s guests, venue customers and or venue staff may be sought including any additional costs.
11.3 - FOOD AND DRINK No food or drink can be consumed or left near any of our equipment
12 - Start and Finish Times: The hirer agrees that the confirmed entertainment start and finish times as specified in the contract are accurate and correct. Any extension beyond the confirmed finish time is at the discretion of Ainsey’s Entertainment and the management of the venue. See 3.1 for ‘Overtime Charge’.
13 - Playlists and Requests: Ainsey’s Entertainment will accept music lists and requests in advance of functions and will endeavour to play a reasonable number of the clients’ chosen requests, provided such requests are submitted in writing before the event. The client also agrees that Ainsey’s Entertainment cannot guarantee the inclusion of any difficult to source, obsolete or deleted titles either requested at the event or previously notified.
14 - Additional setup charges: Where the client requests that Ainsey’s Entertainment set up any equipment at an earlier time prior to the actual start of the function, the client acknowledges that a tiered charge may be made for this additional service, and that this service will be subject to availability. In addition to any previously agreed charges, if Ainsey’s Entertainment should arrive at the clients venue at any earlier, pre-arranged time, and are unable to access the venue to set up the equipment or are prevented from doing so by the venue management, then the client shall be charged standing time at the hourly rate discretion of Ainsey’s Entertainment which must be settled in full before commencement of main entertainment.
14.1 - Late access: Ainsey’s Entertainment will not be liable for any refund, in part or whole, where ‘we’ are late accessing the venue and setting up purely because of earlier events over-running, or where ‘we’ are prevented from accessing, setting up or providing our professional services by the venue management. Neither will Ainsey’s Entertainment be obligated to provide an extension to the agreed timescale on a pro-rata basis in these circumstances.
14.2 - Access and Parking: Where the venue does not have its own parking facilities, Ainsey’s Entertainment reserves the right to pass on any additional parking fees for refund by the hirer. Please note: that in accordance with Health and Safety laws, Ainsey’s Entertainment will refuse to work at venues where illegal or hazardous parking is required in order to unload vehicle. This also applies to general health and safety concerns within the venue such as navigating cluttered or unlit stairways and exits.
14.3 - Winter Performances: The venue management and or hirer must ensure that all ice and snow is cleared from the entrance and exit to the venue, where the Ainsey’s Entertainment DJ / Staff are to unload and load their vehicles prior and after performances. Our staff are instructed not to unload or load until the access area is clear. If any injury occurs to Ainsey’s Entertainment staff / DJ or damage equipment due to untreated snow and ice, we may seek compensation for injuries and or damage to equipment.
15 - Space and Power Sharing: Where Ainsey’s Entertainment is engaged to work alongside a band, (or other entertainer) it is the client’s responsibility to ensure that adequate space exists within the venue for both entertainers to set up their equipment and that separate power outlets exist. See 9.1
16 - Marquee and Outside Venues: Where the event is being held in a marquee, the hirer will ensure that the work area is dry and that a minimum of 2x 13A power sockets are located within 15 Metres of this area. Please note: Bad Weather or impending bad weather on the day will not allow Ainsey’s Entertainment staff to commence entertainment out-doors under any circumstances.
Ainsey’s Entertainment accepts no responsibility for damage to electrical equipment if caused as a result of working in inappropriate weather conditions.

- IMPORTANT: We do not allow guests to MC, Sing Songs or Make Speeches unless this has been agreed prior to the booking confirmation.

Photo Booth Set-Up / Joint DJ Equipment
Photo Booth Set-Up usually takes 60 minutes and if requested, two hours to set up both the booth and the DJ equipment which is included in the package price. Please inform us of any circumstances that would make setting the equipment up more demanding, such as stairs, long distances from unloading areas etc.
- If there are any complications that lead to a longer setup and break down time then this will come out of the run time.
- The equipment will be setup in one location only as agreed on arrival and will not be moved once set up.
- It is the responsibility of the hire to ensure that the venue will accept the use of the photo booth on their premises.
- Any specific criteria that the venue requires such as PAT certification must be made known to us at least 30 days before the event date.
- The hire will arrange for sufficient space to be provided in positioning the photo booth to allow safe use of the equipment by the operator and guests.
- The hire will arrange for the photo booth’s final position to be close to an electrical socket of 220-240v fitted with a 13amp trip.
Damage to the Photo Booth, Equipment and Props
- The hire will be liable for all costs, expenses and losses incurred by Ainsey’s Entertainment as a result of any damage to the photo booth or other hired equipment caused by the hire or the hire’s guests.
- Props are provided for the entertainment of the guests and as an accessory item during the hire session and remain the property of Ainsey’s Entertainment.
- The hire will be responsible for any loss resulting from theft or damage to the props during a hire session.
- We will take every effort to prevent the loss or damage to your guest book created during an event, however, we will not be held responsible for any damage caused by guest behavior.
- We accept no liability for any damage to or loss of personal property arising from the use of the hired equipment.
- We will not be liable for any personal injury resulting from the use of the hired equipment unless caused by negligence on our part or on the part of a person for whose actions which are legally responsible.
Guest Behaviour
- The hirer is responsible for ensuring that suitable security and crowd control measures are in place prior to the start of the event.
- Whilst we encourage the fun use of the photo booth, if we feel that the photo booth is not being treated in a respectful manner we will ask the guest(s) to leave the photo booth.
- We will not accept any threatening or abusive behaviour and if this occurs we will stop the use of the photo booth and dismantle the equipment without a refund.
- No food or drinks are allowed in the photo booth area.
- In the unlikely event of a technical problem with the photo booth or events beyond our control a refund will be given pro-rata to any time lost.
- The operator cannot be held responsible for any failure to provide a service of supplies or equipment if the operator has no control over the circumstances which may withhold all or part of the supply.
- These may include but are not limited to traffic delays, severe weather conditions, breakdown of our vehicles, sickness, equipment failure or delay in operating the unit for any other reason outside of our control.
- If we cannot attend or fulfil your hire due to events beyond our control we will contact you or the venue as soon as possible.
- In these instances, our liability will be limited to a refund of all the monies paid.
- Failure to supply due to the venue or client issues will not result in a refund.
- We carry public liability insurance.
- We will provide a copy of insurance details should the venue request one.
- All of our equipment has been PAT tested and approved.
- We will provide a copy of the PAT test certificate should the venue request one.
Our Liability
We accept no liability for any damage to or loss of personal property arising from the use of the hired equipment.
- We will not be liable for any personal injury resulting from the use of the hired equipment unless caused by negligence on our part or on the part of a person for whose actions which we are legally responsible.
- We will not be liable under any circumstances for any indirect, consequential or special loss or damage.
- Subject to the above points, our total liability to the hire, whether for breach of contract, tort (including negligence) or otherwise shall not in any circumstances exceed £3,000.
- Nothing in this section affects your statutory rights which cannot be excluded or limited by law.
Covid 19
1 we will take no responsibility of the event and the amount of people on the dancefloor
2. if clients decide's to use the photo booth and wear the props then this is their choice and we will take no responsibilty
3. if a client wishes to use a mic then we need 48 hours notice before the event to supply a spare one. (They must not use the Dj's mic)
4.Cancelation if a client has to cancel our services due to covid we will do our best to move the dates around however if a date can not be found we will refund
